We are seeking an Office Management Assistant to support the Mission Engineering Sciences Senior Manager (8770) and the Special Programs I Department (8771). You will perform office functions to facilitate the smooth operation of the departments including answering phone calls, making travel arrangements, keeping/updating dynamic calendars, preparing and submitting travel vouchers, arranging meetings, coordinating visits, distributing mail, scheduling/initiating teleconferences and videoconferences, ordering needed supplies, coordinating signatures, assisting with property and training coordination, and serving as an information source for organizational policies and procedures. You are expected to project a positive, helpful, and professional image to visitors and callers. One of your primary roles is exercising discretion and judgment when handling sensitive information.

You will partner with both the Senior Manager and Level 1 Manager to triage incoming email, maintain multiple calendars, host visitors, and arrange clearance transfers.

You will work across multiple classification levels and with our embedded Security Department to ensure the safe handling of sensitive documents.

You will be part of the 8700 Office Management Assistant team which supports the Center Senior Management Assistant and each other as necessary to cover team member vacation, or absence.

In addition to the functions described above, you may be called on to:

+ Assist in preparing presentations.
+ Deconflict manager's calendars and (re)arrange meetings.
+ Ensure timely submission of timecards.
+ Maintain office files, weekly reports, and databases.
+ Serve as or assists the organization's property coordinator.
+ Maintain department training records.
+ Track the status of the organization's environmental health and safety self-assessments and findings.


+ High school diploma with at least three years? relevant experience; or combination of equivalent education/experience.
+ Experience in effective teaming or collaboration.
+ Experience handling confidential/sensitive information.
+ Experience in Microsoft Office (Word, Excel, PowerPoint, etc.)
+ Position requires a Department of Energy (DOE)-granted Q-level security clearance.
+ Position requires the ability to obtain a Department of Energy (DOE)-granted SCI clearance.


+ Active SCI clearances.
+ Working knowledge of or ability to quickly learn Sandia's business practices, business software (timecards, procurement, expense reports, SharePoint, etc.), and administrative policies and procedures
+ Experience reviewing incoming email for managers, and proactively respond or flag for manager attention
+ Experience coordinating meetings, travel, clearances, and other logistics within Sandia and with external agencies

The Mission Engineering Sciences Group is responsible for managing and executing multiple sensitive missions for a broad set of customers. We work closely with the NNSA, DoD, and the Intelligence Community to accomplish these efforts.

Security Clearance:

Position requires a SCI security clearance.

Position requires a Department of Energy (DOE) granted Q-level security clearance and SCI clearance, which may require a polygraph test.

Sandia is required by DOE directive to conduct a pre-employment drug testing, and a pre-employment background review that includes personal reference checks, law enforcement record and credit checks, and employment and education verifications. Applicants for employment must be able to obtain and maintain a DOE Q-level security clearance, which requires U.S. citizenship and SCI clearance, which may require a polygraph test.
