Description: Description About the Position: Execute aspects of lease administration to ensure database maintenance, accuracy and timeliness of entering pertinent lease information, while ensuring RE team has correct and vital information Performs abstracting for assigned commercial lease documents (i.e., new leases, renewals, amendments, subleases) and addresses any discrepancies, issue and questions; makes recommendations and implements solutions Review or perform abstracts, enter, and maintain lease documentation into accounting system(s) and reporting databases, including addresses, suites, dates, recurring charges, option information and lease clauses within the designated time frame and in close coordination with RE Specialists, Manager and/ or Lease Administration vendor Produce reports on data in accounting and budgeting system, including use of Microsoft Excel. Review and validate any recurring billing change requests and reviews AR ledger to ensure accuracy of request. Reviews lease data in various applications to ensure consistency with legal documents. Advises appropriate parties of any changes and updates needed for tenant information such as letters of credit, insurance certificates, security deposits, and commencement letters. Confirms and updates data in the accounting system for move-in and move-out notices received from the property management team.
Position Responsibilities (including but not limited to): Maintains file system (physical and virtual) including the integrity of information contained within database or other applications used to track all tenant and lease-related data Assists in the review of tenant rent, common area maintenance (CAM), operating expenses, taxes, and insurance reimbursement reconciliation Inform manager, Lead or RE Specialists on progress and issues or constraints.
Qualifications Knowledge & Experience Required:
Associates or Bachelor’s Degree and 1+ year’s work experience. Prior real estate experience desired. Demonstrated strong oral and written communication skills including the ability to communicate effectively both internally and externally to the organization; may include negotiation and presentation skills. Proven excellent analytical skills with the ability to manipulate data and statistics, evaluate, produce complex reports and make recommendations based on detailed, complex analysis on assignments of significant scope. Ability to prioritize work and manage multiple tasks timely. Ability to work independently Proficiency with PC software applications including Microsoft Office suite or equivalent. Ability to use leasing, accounting midrange and mainframe based software applications used in the department desirable. Must demonstrate commitment to personal development.
